How much does it cost to exhibit?

Exhibit rates are listed on the Rates & Assignment of Space page. To exhibit at the member rate, join HAI today! Your company must be an HAI Regular or Associate Member to receive the member rate. If you have questions, please contact the Membership Department at 703-683-4646 or member@rotor.org.

I sent in my Application for Space. Did you receive it?

Your company’s exhibits contact should have received an immediate confirmation that we received your application for space. If not, please email heliexpo@rotor.org.

When will I receive my booth assignment?

You will receive your booth placement via email within 5 to 7 business days of receipt of booth application and payment.

Can I pick my booth space over the phone?

No; booth assignments are only made once an online application for space has been submitted and payment has been made.

What if I don’t like my booth assignment?

If you don’t like your location once you receive your booth assignment confirmation, please send an email to heliexpo@rotor.org with the subject line “Relocate Booth – 2023 – Your Company Name.” Please include updated booth preferences.

Where is my booth located?

What is included in booth space?

Standard booths come with 8 feet of pipe and drape and an identification sign with your company name. Exhibitors are responsible for all additional costs, including but not limited to carpeting, furniture, material handling, electrical, etc.

Please note: booth spaces MUST be carpeted.

Can I sell products in my booth?

As stated in No. 17 of the Rules & Regulations, “Selling on the show floor (payment received and product or service delivered on-site) is prohibited except where specifically authorized in writing by HAI Show Management in advance. The exhibitor bears sole responsibility, including cost, for obtaining all licenses and permits necessary for conducting such business in the state and locality in which the show is being held.”

2. Exhibitor Badges & Guest Passes

How many booth personnel badges do I receive?

Exhibitors receive 4 complimentary booth personnel badges for every 100 square feet of standard booth space and 2 complimentary booth personnel badges for every 800 square feet of static space up to a maximum of 60 complimentary badges. Once you exceed your complimentary allotment, you may purchase additional exhibitor badges. Exhibitor badges are to be distributed to company employees only.

How do I reserve a hotel room for HELI-EXPO?

To book your housing accommodations online, please visit the HAI HELI-EXPO Housing Page.

If you are booking reservations for a group (more than 25 room nights), or a suite, you are required to fill out this request form, and HAI’s show housing provider, onPeak, will work with you to accommodate your needs.

Are there cheaper hotels nearby?

HAI and onPeak have made every effort to secure affordable rates for HAI HELI-EXPO 2023 attendees and exhibitors. You may look at other area hotels. However, it is recommended that you book within the block, as many of these hotels will have a complimentary shuttle bus service to the the Georgia World Congress Center.

What is the complimentary shuttle bus service?

The complimentary shuttle bus service is provided between the Georgia World Congress Center and the hotels within the HAI HELI-EXPO 2023 housing block on the show days.

What is the best airport to fly into?

Hartsfield – Jackson Atlanta International Airport (ATL)

I have an EAC/labor helping with my booth setup. How do they access the show floor?

Only approved EACs are eligible for wristbands. Wristbands will be required for all EACs who wish to access the show floor during setup and tear-down. Wristbands can be picked up each day at the security desk.

I left my badge at the hotel; can I get a new one?

Yes, but there is a $25 reprint fee for doing so.

Where is the onsite exhibitor service center?

The exhibitor service center will be located in the overhead B/C Connector in the GWCCA (same location as in 2019).
